Introducing RPA to Improve Business Efficiency
Qracian Corporation, a company that provides emergency water-related repair services, is expanding
its business performance as the largest total water-related advisor in Japan under the catchphrase,
"Cheap, Fast, and Reliable." We interviewed the company about how it is promoting operational
efficiency through the use of RPA in order to strengthen its structure for further business
expansion and diversification.

Many of Qracian's corporate clients have nationwide operations, and the number continues
to grow each year. As a result, the number of companies entering data into a dedicated
system for each company increased, and the administrative work became more complicated
and diversified. Considering the recent Work Style Reform, it was an urgent issue how to
improve work efficiency without increasing the number of employees.
In addition, mistakes are not allowed in daily routine work, and we wanted to reduce the
stress on the employees in charge of inputting data.
In searching for a solution, Qracian set the following two conditions, which led to the
consideration of RPA implementation.

(2) Inexpensive solution in terms of both implementation and maintenance costs to
maximize profit
However, they lacked knowledge and expertise in RPA, and were unsure of what could be
achieved with RPA and which tasks were suited for RPA.

In response to the current situation where there was no know-how on which operations
could be converted to RPA and analysis methods, Primagest conducted a business analysis,

be converted to RPA out of the 100 operations presented by Qracian, and analyzed the
results. Furthermore, in preparation for full-scale implementation, we received

RPA is not a product that is created and handed over, but rather a product that is
customized and operated independently by the parties involved according to their own
internal circumstances. Therefore, if it cannot be operated independently, it may become
useless, and there are many cases where companies end up reverting to manual operations.

In order to verify the effectiveness of RPA before full-scale implementation, 19 tasks
were set as RPA target tasks, and as a result, a significant reduction in work was
achieved. One of the tangible results was in the management of ETC fee statements for
approximately 700 staff members nationwide. Previously, we had to input the details for
each staff member and display all the details for that month. It was amazing that with
the introduction of RPA, we were able to automatically calculate the details for all
employees at the touch of a button and reflect them in Excel. In terms of manpower, what
used to take about four people three days to do is now done by simply pushing a button
and waiting for the results, and we feel that this is a major step forward in terms of
efficiency.

streamlining work, we expect that we will be able to respond to customer requests that
we have not been able to cover up to now, and we believe that we have found a path to
diversify and take on new business challenges with our creativity.

operations (electronic from the time of reception) but also analog operations
(paper-based at the time of reception). Analog operations require input work to digitize
